Aapo Service Pilot, Possible Call Recording, and Data Processing

This document explains how your data is processed in connection with the Aapo service pilot, when calls may be recorded, what your data is used for, and what rights you have.

3. Why Is Your Data Processed During the Pilot?

The purpose of the Aapo service pilot is to test and develop a telephone service capable of understanding and responding to human speech. The service uses artificial intelligence and is designed especially for elderly people.

During the pilot, we process data in order to deliver the service, evaluate its functionality, improve the user experience, and continue developing the service.

If you have given separate consent to call recording, audio recordings will be used solely for service development. They will not be published or disclosed to third parties.

5. What Data Is Stored?

During the pilot, we may process your basic information, such as your first name or nickname and phone number, in order to carry out the service pilot in practice.

If you have consented to call recording, we will also store an audio recording of the call, which contains your voice and speech. Your voice and speech are your personal data.

During use of the service, the conversation may include matters relating to the user's daily life, news, or interests. If you choose to share personal information — such as hobbies or preferences — such information may be captured during the call. This data is used solely for carrying out the pilot and developing the service.

We do not process data for any purposes other than conducting the pilot, evaluating the service, and developing it further.

6. Who Has Access to the Audio Recordings?

Audio recordings may only be accessed by Vivonep Oy employees and service providers acting on our behalf who have a work-related need to do so.

All such individuals are committed to processing data confidentially. For technical implementation, we use reliable IT service providers committed to data security, who process data solely on behalf of Vivonep Oy and in accordance with our instructions. We have entered into the necessary written agreements with these service providers.

Otherwise, audio recordings are not disclosed to third parties and are not published in their original form.

7. Is Data Transferred Outside the European Union or European Economic Area?

No. Data is not transferred outside the European Union or the European Economic Area.

8. How Long Are Audio Recordings Retained?

Audio recordings are retained for a maximum of 12 months, or until they are no longer needed for the purposes described in this policy. If audio recordings are modified so that the individual can no longer be identified, the original identifiable recording will be securely deleted.

9. What Are Your Rights Regarding the Processing of Personal Data?

You have the right to:

  • Be informed of what data has been stored about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Restrict the processing of your data
  • Withdraw your consent at any time
  • Lodge a complaint with the supervisory authority

12. Is Providing Data Mandatory?

Providing data is entirely voluntary. You are under no obligation to participate in conversation or to consent to recording. You may refuse or stop recording at any time without giving any reason. In such cases, we will delete the audio recording.

13. Is Your Data Used to Make Decisions About You?

No. Your data is not used to make automated decisions or evaluations about you. Any audio recordings are used solely for conducting the pilot, evaluating the service, and technical development.

14. Theses and Research

During the pilot, you may be asked to give separate consent to being contacted for research, surveys, or interviews related to the pilot (such as theses or other studies). Being contacted does not obligate you to participate, and you will receive additional information about the specific study before any potential participation. You may decline to participate at any time without this affecting your participation in the pilot.

We may disclose your name and contact details to the researcher only on the basis of your consent. If the research is conducted by a party external to Vivonep Oy, such as a university or other research institution acting as an independent data controller, the processing of your personal data will be governed by that party's own privacy practices, details of which you will receive before participating in the research.

You may withdraw your consent to being contacted at any time by contacting us by email or phone.

15. Important Notice Regarding Use of the Service

The Aapo service is a telephone service currently under development. It is not an emergency service and does not replace the support provided by healthcare, care services, or loved ones. The service is not suitable for emergency situations.
